Privacy Policy
Studio9 LLC, doing business as GetStaff AI ("GetStaff AI," "we," "us," or "our"), is committed to protecting the privacy and security of your personal and business information. This Privacy Policy describes how we collect, use, store, share, and protect information obtained through the GetStaff AI platform at getstaffai.com (the "Platform"), and your rights with respect to that information.
By using the Platform, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Platform.
1. INFORMATION WE COLLECT
1.1 Information You Provide Directly
When you incorporate your Organisation, subscribe to an Intelligence Level, or interact with the Platform, you may provide:
- Full name and email address
- Business name and business description
- Billing address and payment information (processed by our Payment Processors; GetStaff AI does not store full card numbers)
- Business goals, operational instructions, and communications submitted to AI Employees
- Customer service communications
- Any other content or data you voluntarily submit through the Platform
1.2 Information Collected Automatically
When you access or use the Platform, we automatically collect:
- IP address (collected server-side at every API request)
- Device fingerprint data (browser type, operating system, hardware identifiers, screen resolution, installed plugins, and related attributes) collected via device fingerprinting technology on every Platform page load
- Session data including login timestamps, session duration, pages visited, features accessed, and interaction logs
- Geolocation data derived from your IP address
- Clickstream and usage data
- Email delivery confirmation data (whether transactional emails were successfully delivered)
1.3 Payment and Transaction Data
Payment transactions are processed by our Payment Processors. We receive and retain transaction records including payment amounts, dates, currency, billing descriptors, and anonymized card identifiers. We do not receive or store full payment card numbers, CVV codes, or full bank account details.
1.4 Communications Data
All communications between you and AI Employees, the General Manager, the Executive Assistant, and GetStaff AI customer support are logged, stored, and retained. This includes text inputs, commands, generated Outputs, feedback submitted, and all Customer Service interactions.
2. HOW WE USE YOUR INFORMATION
We use the information we collect for the following purposes:
- To operate, maintain, and provide the Platform and all associated features and services
- To process payments, issue invoices, manage subscriptions, and handle refunds
- To personalize and improve your experience on the Platform
- To communicate with you regarding your account, transactions, Platform updates, and customer support
- To send pre-charge notifications and billing confirmations for recurring subscriptions
- To detect, investigate, and prevent fraudulent transactions, unauthorized access, chargebacks, and other prohibited activities
- To maintain transaction evidence records, session logs, and dispute documentation in accordance with Section 5 of this Policy
- To comply with legal obligations, respond to legal process, and enforce our Terms of Service
- To analyze Platform usage and improve our AI systems, workflows, and service quality
- To evaluate and respond to chargeback and payment disputes
3. TRANSACTION MONITORING AND EVIDENCE RETENTION
GetStaff AI operates an internal transaction documentation system ("Veritas") that automatically captures and retains comprehensive evidence of all Platform transactions and customer interactions. This system exists to protect both GetStaff AI and its customers by maintaining accurate records of all agreements, payments, service delivery, and communications.
The Veritas system captures and retains:
- Device fingerprint, IP address, geolocation, and user identification at the time of every transaction
- Timestamped records of all consent confirmations, Terms of Service acceptances, and subscription agreements
- Session engagement data confirming access to and use of the Platform following each transaction
- All transactional email delivery records with timestamps
- All customer service communications and support interactions
- 3D Secure authentication records where applicable
- Recurring billing notification and confirmation records
This evidence is retained for a minimum of eighteen (18) months to comply with applicable payment network dispute windows, including Visa's 540-day maximum chargeback window. In the event of a payment dispute or chargeback, this evidence will be shared with our Payment Processors, acquiring banks, and payment networks as required.
All customers are informed of this monitoring through these Terms of Service and this Privacy Policy. Continued use of the Platform constitutes consent to this monitoring and evidence retention.
4. HOW WE SHARE YOUR INFORMATION
4.1 Payment Processors and Merchants of Record
We share necessary billing and transaction information with our Payment Processors and Merchants of Record for the purposes of processing payments, managing subscriptions, issuing refunds, and resolving disputes.
4.2 Service Providers
We may share information with third-party service providers who assist us in operating the Platform, including hosting providers, email delivery services, analytics providers, and AI infrastructure providers. All service providers are contractually required to handle your information securely and only for the purpose of providing services to GetStaff AI.
4.3 Legal and Regulatory Disclosure
We may disclose your information when required by law, court order, regulatory authority, or legal process, or when we reasonably believe disclosure is necessary to protect our rights, your safety, or the safety of others.
4.4 Business Transfers
In the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred to the acquiring entity, subject to the same privacy protections described in this Policy.
4.5 No Sale of Personal Data
GetStaff AI does not sell, rent, or trade your personal information to third parties for marketing purposes.
5. DATA SECURITY
We implement industry-standard security measures to protect your information, including encrypted storage, row-level database security, secure API communications (TLS/HTTPS), server-side IP capture, and access controls. All evidence records are stored in append-only storage with access logging. Payment card data is handled exclusively by PCI-DSS compliant Payment Processors.
No method of transmission over the internet or electronic storage is completely secure. While we take all commercially reasonable steps to protect your information, GetStaff AI cannot guarantee absolute security. You accept this inherent risk by using the Platform.
6. DATA RETENTION
We retain your personal information for as long as your account is active or as needed to provide services and comply with our legal obligations. Transaction evidence records are retained for a minimum of eighteen (18) months. Upon account closure, we may retain certain records for up to seven (7) years for financial, legal, and compliance purposes. You may request deletion of your personal data in accordance with Section 8 of this Policy; note that deletion requests may not apply to data we are legally required to retain.
7. COOKIES AND TRACKING TECHNOLOGIES
The Platform uses cookies, local storage, and similar tracking technologies to maintain session state, authenticate users, analyze usage patterns, and support device fingerprinting. By using the Platform, you consent to our use of these technologies. You may configure your browser to reject cookies, but doing so may impair Platform functionality. Our use of device fingerprinting technology is a security and fraud prevention measure and operates independently of cookie settings.
8. YOUR PRIVACY RIGHTS
8.1 General Rights
Depending on your jurisdiction, you may have the following rights regarding your personal information:
- Right to access the personal information we hold about you
- Right to correct inaccurate or incomplete personal information
- Right to request deletion of your personal information, subject to legal retention requirements
- Right to object to or restrict certain processing of your information
- Right to data portability in a structured, machine-readable format
8.2 EU and UK Users — GDPR Rights
If you are located in the European Union or United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR) and UK GDPR. Our lawful basis for processing your data is primarily: (a) performance of a contract with you; (b) our legitimate interests in operating a secure and fraud-resistant platform; and (c) compliance with legal obligations. You have the right to lodge a complaint with your local data protection authority. As a company based in the United States, international transfers of your data are conducted in accordance with applicable legal frameworks.
8.3 California Users — CCPA Rights
If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how it is used, the right to request deletion, and the right to non-discrimination for exercising your rights. 8.4 Exercising Your Rights
To exercise any of your privacy rights, please submit a written request to compliance@getstaffai.com. We will respond within thirty (30) days. We may require verification of your identity before processing any request.
9. CHILDREN'S PRIVACY
The Platform is not directed at individuals under the age of eighteen (18). We do not knowingly collect personal information from minors. If we become aware that a minor has provided personal information, we will take steps to delete it promptly. If you believe a minor has used the Platform, please contact us at compliance@getstaffai.com.
10. THIRD-PARTY LINKS AND INTEGRATIONS
The Platform may contain links to third-party websites or integrate with third-party tools and services. This Privacy Policy applies only to GetStaff AI's Platform. We are not responsible for the privacy practices of third-party services. We encourage you to review the privacy policies of any third-party services you access through the Platform.
11. CHANGES TO THIS POLICY
We reserve the right to update this Privacy Policy at any time. Changes will be posted at getstaffai.com and you will be notified by email. Your continued use of the Platform after the effective date of any update constitutes acceptance of the revised Policy.
